Presidents' Report to the 2002 Annual General Meeting

 

This report, presented tp the chapter on July 9, 2002, was prepared jointly by Kerri Siatiras, President from July 2001 until November 2001, and Trish O'Kane, President from November 2001 until the Annual General Meeting.

 


 

 

This year has been an interesting one with the chapter involved in a number of highlights.

 

Affiliation with RMAA

 

Last year's AGM moved that the Executive Committee should investigate a closer relationship with the Records Management Association of Australia (RMAA) as it was felt that ARMA International was not necessarily providing members with the most benefits for their subscription dollar at the wider association level. This motion gave the Committee the mandate to start what has been a long term and very detailed process. Much of this year has been focused on this issue.

 

Preliminary investigations gave the Committee enough confidence in the RMAA and the sense of affiliating with them that a Special General Meeting that was held on 30 November, 2001, to check with the Chapter members on the next stages of the process. That meeting and a subsequent ballot voted overwhelmingly to continue with the investigation process.

We have since had legal opinions, numerous emails between Wellington and RMAA HQ, and a visit from the President of the RMAA, Chris Fripp, and the acting Vice-President, Kate Walker.

 

Members of the special committee established to conduct this investigation and negotiation were Trish O'Kane, Deirdre Wogan, Jackie Jean, Michael Steemson and Helen Hancox. Thank you so much for all the work you have done towards this - the culmination of which we will be finalising today.

 

Moneys

 

In September, NZAIIM wound up. This association, which had complimentary areas of interest to ARMA, gave us the assets they had accumulated over their 18 months of existence to use toward education and professional development of chapter members. This amounted to some $1,500 for which we are very grateful.

 

In December, we also received a large cheque, circa $10,000, from the Auckland ARMA Chapter, our chapter's remaining profit share of the Pacific RIM Conference held some years ago. It is great to have that outstanding issue finalised.

 

These two amounts have put the Chapter in a great position going forward to really use this money for the benefit of Chapter members.

 

Submissions

 

We have continued to provide submissions on behalf of ARMA members in response to policy, legislation and programme that will have an effect on the information and records management field. This year we have provided submissions in relation to:

 

  • The Public Records Bill.
  • R.M. Training Options paper, Archives New Zealand.
  • Compliance Options paper, Archives New Zealand.
  • Custody and Ownership Options paper, Archives New Zealand.
  • The strategic direction of the MLIS course, Victoria University of Wellington.

Member Activities

 

Our members meeting programme has continued to thrive under the management of Michael Steemson. Thank you Michael for all your hard work pulling together a great range of speakers over the past year. This has included sessions on education opportunities, the RMAA conference in Hobart, retention and disposal scheduling, a disaster recovery case study, and the very well attended DIRKS seminar with National Archives of Australia’s head of recordkeeping implementation, Rodney Teakle.

 

We also had a successful visit from ARMA International President (2002-2002), Terry Coan, who persuaded his partner that the ideal holiday consisted of visiting ARMA Chapters in exotic locations at their own personal expense.  We informed Terry about our investigations into affiliating with RMAA and he told us that he would be sorry to see the Chapter leave ARMA, but he understood our reasons.  ARMA International has determined not to accept any further international Chapters because the organisation has not been effective in supporting an international structure, he said.

 

Once again we had our Christmas Party jointly with the Archives and Records Association of N.Z. (ARANZ), this time in a boat on the Wellington Harbour! This continues the ongoing positive relationship we have with other information management groups in New Zealand.

 

ARMA members contributed towards a special fund for the family of John Lozowsky a well-known member of our profession who was killed in the World Trade Center attacks.  Ruth Robinson coordinated the fund, and a pounamu hei matua[1] pendant was purchased for John's young son, Max.

 

For the Record and the Website

 

Linda Campbell took over the Editorship of our newsletter For The Record and has done a sterling job over the last 12 months, ably assisted by Maureen MacNamara.  FTR continues to provide an interesting mix of local, and international pieces of relevance to our members. Thank you to all contributors. Thank you also to Michael Steemson for keeping our Chapter website up to date and informative.

 

Chapter Committee

 

A big personal thank you from Kerri to all the support she has received from the ARMA Committee and Members who have been very understanding about her quick exit[2] from the President’s role. Especially, thank you to Trish who graciously agreed to being voted in again to lead the chapter.

 

We had a bit of a shuffle round of committee positions and some new members this year. Thank you to all committee members for your hard work and dedication over the last year. You're a great team to work with.
